Tutor Extraordinaire LLC (“Tutor Extraordinaire,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect through our website, contact and intake forms, scheduling and reminder workflows, tutoring operations, and related communications; how we use that information; and the choices you may have.
Our website and services are intended for parents, guardians, adult clients, and students age 13 or older with parent or guardian involvement. Parents or guardians may provide information about younger students so we can evaluate and provide tutoring services.
1) Information We Collect
We collect information you voluntarily provide through our website forms, Noto forms, intake or practice-exam request forms, email, text messages, phone calls, scheduling, billing, and other service-related communications. This may include:
A. Parent, Guardian, or Client Contact Information
- Name
- Email address
- Phone number
- Mailing or billing address, if provided or needed for billing and records
B. Student and Tutoring Information
- Student name, grade level, school, and date of birth, if provided
- Subject areas, academic goals, learning needs, availability, and tutoring preferences
- Notes, progress updates, practice-exam requests, prior scores, or other tutoring-related information you choose to share
C. Scheduling, Communications, and SMS Records
- Appointment dates, times, locations or online meeting details, and scheduling preferences
- Records of confirmations, reminders, schedule changes, payment reminders, opt-in records, opt-out records, and other service-related messages
D. Payment and Billing Information
We do not collect or store full payment card or bank account information on our website servers. Payments may be processed through third-party payment or invoicing providers such as Stripe and Wave. We may maintain limited billing records needed for accounting, customer support, tax, and business records, such as invoice status, payment confirmation, and transaction reference identifiers.
E. Website, Security, and Technical Information
When you visit the Site, our WordPress website, hosting provider, security tools, anti-spam tools, and embedded form providers may collect limited technical information such as IP address, browser or device information, page requests, security logs, and cookie or similar technology data needed to operate, protect, and maintain the Site. We do not use advertising cookies or ad-tracking pixels on the Site as part of our current setup.

If you provide a phone number or email address, we may use it to send service-related communications, such as inquiry responses, appointment confirmations, appointment reminders, schedule changes, practice-exam details, invoices, and payment reminders. We do not send marketing text messages as part of our current SMS program.

4) How We Share Information
We share information only as needed to operate the Site, provide tutoring services, communicate with clients, process payments, maintain records, or comply with law. This may include sharing information with:
- Owner, administrative staff, and contracted tutors who need the information to support tutoring services
- Form, CRM, scheduling, communication, payment, invoicing, hosting, website, security, backup, and anti-spam providers, such as Noto, Twilio, Stripe, Wave, Google Calendar, Replit, Bluehost, WordPress, Wordfence, Kadence, Akismet, UpdraftPlus, and WPForms where applicable
- Professional advisers, tax or accounting providers, or legal authorities when necessary for business, tax, legal, or safety reasons
Service providers may change over time. We do not sell or rent personal information, and we do not share mobile opt-in data or SMS consent information with third parties for marketing purposes.
5) Students and Children
Our Site is intended for parents, guardians, adult clients, and students age 13 or older with parent or guardian involvement. We do not knowingly collect personal information directly from children under 13 through the Site. If you believe a child under 13 has provided personal information directly to us through the Site, please contact us so we can review and address the information.
Parents and guardians may provide information about students, including students under 13, as part of requesting or receiving tutoring services. Parents and guardians may contact us to review, correct, or request deletion of their student’s information, subject to legitimate business, legal, accounting, and recordkeeping needs.
6) Cookies and Similar Technologies
The Site may use cookies or similar technologies that are necessary for WordPress functionality, embedded forms, security, spam prevention, caching, and site administration. Embedded third-party forms may use their own cookies or similar technologies to operate correctly. We do not currently use analytics cookies, advertising cookies, or ad-tracking pixels on the Site.
7) Data Retention
We retain client, student, tutoring, scheduling, communications, and billing records for as long as reasonably needed to provide services, support clients, maintain business records, comply with tax, accounting, and legal obligations, resolve disputes, and protect our business. In general, client and student service records may be retained for up to seven years after services end, unless a longer or shorter period is appropriate or required.
8) Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No website, email system, text messaging system, or internet transmission is completely secure, so we cannot guarantee absolute security.
9) Your Choices
You may contact us to request access to, correction of, or deletion of personal information we maintain about you or your student, subject to legitimate business, legal, accounting, and recordkeeping needs. You may also ask us to update communication preferences or stop nonessential communications.

We may update this Privacy Policy from time to time. The “Last Updated” date above reflects the most recent version posted on the Site.
